Personal Information We Collect and How It Is Used
Chorus Call Canada Corporation collects personal information from two distinct groups, and in all cases, makes a reasonable effort to ensure the accuracy of this information. The method of collection and the use of this information differs accordingly:

  1. Clients’ Information: Personal information is collected from clients for the purpose of providing them with the service they have requested and facilitating communication regarding the delivery of these services. The details are typically collected via email or telephone when the client books a service with us. In the case where there is collaboration with third party service providers (e.g. an audio visual team), a client’s information may be shared with people outside of Chorus Call in order to facilitate communications regarding the delivery of these services. In some instances – and only by expressed written request from the client – some information is published electronically on the client’s webcast or web meeting page. These published details may include a client representative or presenter’s name, title, photograph, biography and contact details.
  2. Participants’ Information: “Participants” are all the individuals who connect to any of Chorus Call’s services: Conference Call, Video Conference, Web Conference or Webcast. At the client’s request, participants’ personal information is collected from any individual who joins an event being hosted using one of Chorus Call’s communication platforms.

Chorus Call typically collects Participants’ information:

  • Over the phone by one of our Operators – if they join an Assisted Conference Call
  • Participants may have to record their own information – if they join a Passcode Conference Call. These recordings may or may not be played into the call for all participants to hear as the caller joins and/or leaves the call. Alternatively, account holders have the option to play a roll call of all participants either privately or to everyone in the call. The purpose is to assist in establishing a certain level of security on the call, and/or to help other participants know who else is in the conference call.
  • Over Video by one of our Operators – if they join a Video Conference
  • They type it on the Web Page – if they join a Web Collaboration Tool
  • They type it on the Webcast Registration Page – if they join a Webcast
  • In person – if they show up for a room rental (typically name only)

These details are requested in order to provide the client with a participant list following their events. In some cases, the client has contracted the assistance of a third party consultant and the client has asked us to include them on the circulation list for the report.

What type of information may be collected:
For Customers: Name, Business Phone Number, Business Email Address, Business Address, Title, Headshot.
For Participants: Name, Business Phone Number, Business Email Address, Company, City (and or Province), Title.

Security
All individuals employed by Chorus Call are required to sign a confidentiality and non-disclosure agreement.

We have implemented physical, organizational, contractual and technological security measures to protect your personal information in our possession or control from loss or theft, and unauthorized access, disclosure, copying, use or modification.

However, given that the Internet is a global environment, using the Internet to collect and process personal data necessarily involves the transmission of data on an international basis and across networks not owned and/or operated by us. Therefore, by browsing the Website and communicating electronically with us, you acknowledge and agree to our processing of personal information in this way and agree that we are not responsible for any personal information which is lost, altered, intercepted or stored without authorization during transmission.

Retention of Personal Information
We retain personal information for as long as required for business purposes or as required by law.

Informing / Obtaining Consent
The method of informing or requesting consent differs depending on which group of individuals is being considered.

  1. Clients: Since it is the client that has requested the service, their consent is considered implicit. That being said, estimates and event confirmations advise that information is collected and points clients to this privacy policy hosted on our website.
  2. Participants: When participants join a conference call, a message is played to advise them that their information will be collected and the purpose for which it is being collected. A similar message is also displayed on the webcast page when they access a webcast. Room rental participants are advised verbally or in writing that their information will be shared with the meeting room they will be attending to facilitate the booking and delivery of the service.

Access to Your Personal Information / Questions / Enforcement
You may request access and/or corrections to your personal information. We will make good faith efforts to provide you with access to your personal information and either to correct this data if it is inaccurate or to delete such data at your request if it is not otherwise required to be retained by law or for legitimate business purposes. Participants in our clients’ events are asked to include the name and date of the event that they participated in to assist with the location of their personal information.

When we receive formal written complaints at these addresses, it is our policy to contact the complaining user regarding his or her concerns. We will cooperate with the appropriate regulatory authorities to resolve any complaints that cannot be resolved between us and an individual.
